Level 8/9/10 Regional Meet Bids

All people bidding will have an opportunity to speak to the Regional Board about their bid at the Regional Board meeting on Friday at Region 1 Congress. You will be informed of the exact time once I receive your bid.
Regional Meet hosts are responsible for providing a safe, fair and high quality meet for all athletes in Region 1. The following is a brief outline of some of the responsibilities of a meet host.
** Rules & Policies must be followed in all aspects of the meet**
Facility:
- An outside facility must be used. The facility must be available and set up Thursday for Friday workout sessions as well as meet sessions.
- There must be a judge’s room that will accommodate 35 judges. A TV/VCR/DVD must be provided for base score videos.
- There must be a room or curtained area for National/Western qualifiers apparel sizing and distribution.
Format:
- Format has been mandated by the Regional Board. Level 9/10 sessions and Level 8 sessions will run concurrently in two different gyms with two sets of equipment in each gym. The sessions will be Modified Capitol Cup.
- The meet host must work closely with Carol McIntyre when setting sessions and meet times. Nothing should be posted online or otherwise without her approval.
Equipment:
- Equipment must meet R & P requirements.
- There should be 4” and 8” mats as well as a sting mat at each event.
- There should be two sets of identical equipment in each gym with plenty of space for athletes and coaches.
Medical
- A trainer/EMT/Doctor should be at the site during training and meet sessions. Ice should be readily available.
Hotels:
- Meet host shall arrange for host hotels near the meet site and shall distribute the information to all participating clubs.
- There will be 32 panel judges and 3 Meet Referees.
- Meet host should arrange for transportation and hotel rooms (2 per room) for all judges.
- Adequate break time should be provided (Refer to R & P).
- Meals shall be provided for judges onsite.
- Judges shall be compensated immediately following the competition.
Assistants:
- There must be assistants for each event to time and possibly data entry. It is preferable that timers are NAWGJ officials and line judges must be NAWGJ officials. Contact the local NAWGJ Director for assistance in obtaining volunteers.
- Post it notes or another form of paper must be provided for each judge to send their score to the chief judge or you must have electronic score entry pads for each judge. It is preferred that you have score entry pads for each judge.
Admissions:
- The meet host must submit an admission package to the Regional board for approval.
Apparel and Meet Items:
- The Host Club shall provide an address that the Regional Board can have the apparel ad other meet items shipped to. That apparel and other items shall be transported to the meet site by the meet host. There will be a lot of large boxes that will need to be temporarily stored and transported. Following the meet, there will be boxes that need to be disposed of.
Awards:
- Awards shall be provided by meet host.
Graduating Seniors:
- There must be time allotted to honor the graduating seniors during the awards ceremony where graduating seniors are present.
Meet Results:
- The scoreperson must work closely with Jennifer Krause and Carol McIntyre. Immediately following the level 9 and 10 sessions, there are particular results that must be printed first for Jennifer and Carol.
- Copies of meet results must be provided to each participating club as well as the State Chairmen and Regional Chairman at the meet site.
- Meet results should be saved to a file and given to the Regional Chairman or designated representative so that they can be posted on the website and transmitted to USAG.
Hospitality:
- Meet host shall provide snacks, drinks, etc. for coaches. Meals should be provided for coaches that cannot leave the facility due to multiple athletes in various sessions.
Financial Statement:
- A financial statement (form provided by USAG) shall be submitted to the Regional Chairman within 30 days after the competition.
